Frequently Asked Questions for Requesting Access

How do Access Requests work?

In order to gain access to specific areas across the UHCL campus and UHCL at Pearland, all members of the community can fill out the online access request form located below. You will need to have an active UHCL email account in order to use this form. Contact the Support Center at 281-283-2828 if you need help with your UHCL email account.

Once the form is submitted by clicking the “submit key request” button located at the bottom of the form, it is then sent via email to the Police Department Technical Services Division and your College’s / Department’s security delegate for review. Next, your security delegate approves your request. Finally, the Police Department Technical Services Division will then notify you, via email to your UHCL email account, that your key is ready or that your card is activated. This notification will also include any additional instructions you may need.

Be sure to check your email for responses from either your security delegate or the Police Department Technical Services division.

What is a Security Delegate?

A security delegate is someone that has been delegated security functions from the department head. This person is mostly responsible for reviewing access requests and authorizing access to various locations within their area of control. Security delegates should be someone who is familiar with faculty, staff, and students and the areas they may need. There can be multiple security delegates for one department. This option is available so as not to overwhelm any person with additional job functions.

We rely on security delegates to help us keep areas safe and secure by making sure the correct people have the correct access to different areas on campus.

How do I return keys?

Keys always need to be returned to the Police Department located at the Bayou Building, B1636. This helps your department or college maintain security by not allowing keys to float from person to person without any documentation. When in doubt, contact the Police Department Technical Services Division at 281-283-2230 or send an email to locksmith@uhcl.edu. Our staff is available Monday through Friday 8 a.m. to 5 p.m.

What if my card does not work?

For quick troubleshooting see the following list of common issues and how to address them:

  1. Your access has expired. Students and Adjuncts have their cards expire automatically at the end of every semester. They must request access every start of the semester using the online access request form. Contractors also have a time limit based on their contract. Faculty and Staff may also have time limits on their access to specific areas.
  2. Use or Lose Policy is in effect. Non-benefits eligible employees and students will have to use their card within a 30 day interval or the system will assume it is lost and deactivate it. You still have access and can have it turned back on by contacting 281-283-2230 Monday through Friday 8AM to 5PM. After hours, Students with inactive cards can also contact our Police Dispatch at 281-283-2222 and they provide assistance. Cards can be kept active by presenting them to any reader, at any building, at either UHCL campus or UHCL at Pearland, at any time. The 30 day timer is reset each time the card is used.
  3. The card is broken. This case does not happen often. If you present your card to a reader and there no sounds and the light does not flash red and green, your card is most likely broken. Contact the Police Department Technical Services Division at 281-283-2230 or send an email to locksmith@uhcl.edu and our staff will be able to assist you in the process of getting a replacement.
Where do I get a new ID?

Students (Including student workers):

Upon submitting a request for access, always check your UHCL email account for responses from your security delegates and the Police Department Technical Services Division.  Once you have received approval for access, proceed to student life and get your prox ID printed. Your ID is the Green Prox ID. If you have questions or concerns, contact the Police Department Technical Services Division at 281-283-2230 or send an email to locksmith@uhcl.edu. Our staff is available Monday through Friday 8 a.m. to 5 p.m.

Faculty, Staff (Full and Part Time), Adjuncts, Contractors:

Your ID’s are printed at HR. New employees receive their Blue Prox ID on the first day of employment. If you are full time employee and do not have a Blue Prox ID, please contact HR to have one printed.

Contractors are given White Prox ID’s. Coordination is set up between your contract, the Police Department Technical Services division and HR for you to receive your access.
