Sponsored Accounts (ePOI)
A sponsored account provides non-UHCL persons, employees, departments and organizations access to OIT resources to support instructional, research, and/or administrative duties.
All non-UHCL persons who wish to use OIT resources must go through the ePerson of Interest (ePOI) process. Through this process, the individual will receive a personal UHCL account automatically, once the process has been completed in our PeopleSoft system.
As a non-UHCL person, you will need to apply for ePOI using the "ePOI Application form". The non-UHCL person must fall into one of the ePOI Services (see below for link to additional information) which ultimately establishes your relationship with the University of Houston-Clear Lake. It is important to note that OIT is not responsible for processing the ePOI Application form. Please read the instructions for the ePOI procedure carefully. Not all resources are available for all ePOI Services.
Electronic Person of Interest (ePOI) Information
1. The ePOI Application form is required for all ePOI requests and must be uploaded
to the eFORM.
2. The default expiration date for using UHCL resources, will be 1 year from the date
the ePOI is effective, with the exception of following ePOI services:
- The following ePOI services will have an expiration date that is 90 days from the
effective date:
- Future Employees
- Future Faculty Employees
- Guests
3. If the applicant/owner needs continued service upon reaching the expiration date, a renewal must be submitted prior to the expiration date. The applicant/owner will be notified prior to the expiration of the sponsorship.
4. There are three parties involved in the sponsorship process.
- Applicant/Owner - Usually the non-university person who wishes to use UHCL resources (email account, Parking, Library, etc.)
- Sponsor - Current University of Houston-Clear Lake employee or faculty who will bear responsibility and accountability for the Applicant.
- College/Department Business Administrator - College or Department Business Administrator who may enter the ePOI Application form in PeopleSoft on behalf of the sponsor. The eFORM initiator may also initiate an ePOI.
5. The Applicant must initiate the process by completing the ePOI Application form.
6. The sponsor will complete the sponsor section of the form and will submit the form to the College or Department Business Office for processing.
The Sponsor will need to identify the type of ePOI Service. The ePOI process will issue a UHCL ID number for the non-UHCL applicants, if the applicant does not already have one. The UHCL ID number will serve as the key identification number while the applicant uses UHCL resources.
7. Once the ePOI form is entered in PeopleSoft, Human Resources will execute and process
the final approval in the PeopleSoft system. The ePOI Application form is required
for all ePOI requests and must be uploaded to the eFORM or Human Resources will deny
the request and it will have to be resubmitted by the department.
Note: Separating and former employees, including retirees (except Emeriti), will not
be eligible to keep their UHCL resources.
