Basic Web Editor Training
Welcome to web editor training! We look forward to partnering with you to serve UHCL students, faculty, staff and community members through the public website. After you review the below materials, take the 20-question Web Editor Training Assessment Quiz linked at the end of this page. You must earn a score of 100% to qualify as a web editor.
Web Governance
All web editors agree to follow UHCL Web Governance. Please read this document and save for your records. UHCL's public website informs and guides applicants, students, faculty, staff, and the community. Good web governance is a critical part of serving that role.
Modern Campus CMS, formerly OU Campus/Omni CMS, training materials below are still correct, just with the old OU Campus name and color scheme.
Module 1 - Introduction to OU Campus

UHCL Notes:
- UHCL's direct access link is the copyright symbol in the footer of every page.
- The direct access link is the quickest way to open a specific page editor.
Module 2 - The Check-in/Check-out System

- To see what pages are currently checked out to you, use either the Modern Campus CMS Gadget or your Modern Campus CMS Dashboard.
- Pages checked out to someone else will have a red lock instead of a light bulb.

UHCL Notes:
- When checking links, Modern Campus CMS may mistakenly list a link error. If the link works when you test it manually, it should work on the live page as well.
- When checking accessibility, focus on "Known Problems" and "Likely Problems" as issues that may be in your control. Web coordinators are working to review and reduce the code-level and "Potential Problems" flagged by Modern Campus CMS.

UHCL Notes:
- Always use headings in numerical order and logical sequence. They function like headings on a document outline. Find more information and examples on our Accessible Web Content page.
- Never underline text. Underlined text can confuse visitors about whether text is a link.
- For images, the "Alternative Description" field is read aloud to users on screen readers. This description also helps search engines better understand the page.
- For images, use the "Class" drop-down menu to change the alignment to the left or the right.
- For links, "Link Text to Display" should always be clear and understandable, even when read out of context. Avoid general language such as "Learn More" or "Click Here." Also, avoid using the destination URL as the link text.
- For links, use the "Class" drop-down menu to change the appearance to a button.

UHCL Notes:
- Always paste plain text without formatting, either using the Modern Campus CMS pasting tool or your browser's plain text paste commands. Then, use Modern Campus CMS tools to add bold, italics, bullets, or other formatting options.
- Pasting plain text helps prevent errors in the code.

- Before gaining editor access to image galleries, you will attend an advanced training from the Web Team.
- Please note that Web Team is no longer supporting built-in forms on the UHCL website, but the university offers several options for online forms. Please see our page on web forms for more information.
Module 8 - Uploading Files

UHCL Notes:
- Images on public-facing UHCL web pages must meet photography brand standards and web template requirements.
- Always upload images to the "images" file in your web section. If you need an images folder, contact your web coordinator.
- Always upload PDFs, Word documents, and similar files to the "documents" folder of your web section. If you need a documents folder, contact your web coordinator.
- Before uploading a file to the website, always check that it is accessible. Learn more and find resources in our Accessible Web Content page.

- The UHCL website is not an archive. All files on the website should be necessary, useful, and current for the UHCL community.
Module 9 - Submitting to Publish

UHCL Notes:
- You are a partner in keeping the website current, on-brand, and accessible.
- Your page edits might be rejected if:
- The content is incomplete or has errors.
- The text content conflicts with official University policy or notices.
- The page contains documents that do not meet accessibility standards.
- The page contains photography that does not meet brand standards.
Module 10 - Additional Guidance on Accessibility
While we have provided overall guidelines, many accessibility issues are identified and corrected on a case-by-case basis.
Plain Language
- Plain language uses short paragraphs, short sentences, common words, and active voice.
- Writing in plain language helps all users understand web content more quickly and easily.

Headings
- Use headings to divide your content into clear sections. This will help visitors find information quickly.
- All heading styles have a number. Use headings in numerical order and logical sequence.

Text
- When pasting text, paste it without formatting. Then, use Modern Campus CMS tools to add bold, italics, bulleted lists, or numbered lists. Following this process helps prevent errors and accessibility issues in the code.
- To paste without formatting, you may need to look up specific instructions for your operating system and browser.
- On UHCL web pages, never add underlining to text. Many users confuse underlined text with links.
- Avoid using all caps except for acronyms, such as UHCL. To emphasize important text, use bold or italics.
Images
- All images require a brief alternative description. These descriptions are read aloud to users on screen readers. They also help search engines understand your page.
- Avoid using images with text in them when possible. If text is unavoidable, include all visible text in the image's alternative description.
Links
- Displayed link text should be brief, clear, and make sense out of context.
- Avoid using general language such as "Learn More" or "Click Here."
- Avoid using URL addresses as link text.
Documents
- All documents on the website, including PDFs, Word documents, presentation slides, and others, must meet accessibility standards.
