Reproduction and Reference Requests

Copies and reproductions of archival materials are available at no charge, depending on technical requirements and the size of materials. Due to staff limitations, Archives staff cannot perform document scanning requests of more than 10 documents at 50 pages each per request each week. If document requests exceed this amount and page number, documents will be scanned in small sets each week as time allows.

Audiovisual materials, such as videotapes and audiotapes, cannot be digitized in-house at UHCL Archives. These materials must be sent offsite to a digitization vendor, with the costs of digitization and shipping to be covered by the requesting researcher. The Archives Associate Director must be consulted before any agreement to have AV materials digitized will be reached, and we cannot guarantee that requested AV materials will be sent for digitization. Some materials may hold copyright restrictions or ownership rights that will limit their ability to be digitized. 

UHCL Archives has a photocopier/scanner, two small photo scanners, two large-format flat scanners, and an overhead BookEye 4 Basic book scanner. Researchers are allowed to use the Archives' photocopier as long as handling rules for archival materials are followed.

The UHCL Archives does not allow outside scanners or photographic equipment, except on a case-by-case basis. Researchers must contact the Archives Associate Director ahead of time, and provide equipment specifics for review of acceptability standards.

UHCL Archives staff will make every effort to acknowledge remote reference requests within two business days. Actual turnaround time for reference requests varies depending on the scope of inquiry and Archives workload. No rush requests will be considered, except for certain UHCL senior administrative requests.
