Description of Job

The Student Life Office creates a supportive environment and provides UHCL students with opportunities for personal, social, and intellectual development to help enhance the college experience. The student in this position will serve as a point of contact for questions and information regarding Student Life services and programs. They will also facilitate the daily operations of the front office which will include providing customer service to office visitors, clerical duties, spreadsheet management, ID card production, the processing of monetary transactions, help staff programs and work with other student staff members on team projects and programs. The details of the responsibilities include: 

Receptionist/Clerical Responsibilities

  • Greet all visitors and assist them with their needs by providing a high level of quality service
  • Answer and direct phone calls and manage multiple phone calls at times
  • Perform data entry projects, filing, photocopying, and other assignments
  • Help maintain clean and organized work spaces and storage spaces
  • Learn and retain all knowledge of front office functions and processes
  • Ensure that all program paperwork is filled out properly before submission
  • File all paperwork appropriately with the correct program area

Front Office Services

  • Perform recurring services such as ID card creation, room and banner reservations, equipment inventory and check-out, spreadsheet updates for tracking and assessment, cash register transactions, bulletin board maintenance throughout campus, and postal mail pickup and distribution

Student Life Involvement and Support

  • Complete tasks and projects assigned by program coordinators
  • Stay up-to-date with all Student Life programs in order to help promote them to students
  • Provide staff support at various Student Life Activities and events throughout the year
  • Work collaboratively with other student staff members in the creation and execution of student activities
  • Represent Student Life and share involvement experiences at admissions recruitment programs and new student orientation programs

This individual must possess a courteous and approachable attitude, be prepared to practice and enhance a strong work ethic, be customer-service oriented, and be proactive.

Minimum qualifications and expectations include:

  • Greet visitors immediately and answer phone calls in a timely manner
  • Professional demeanor, excellent punctuality and attendance
  • Ability to gain and retain knowledge of all office functions, processes and policies
  • Proven ability to work both as a team member and independently
  • Strong interpersonal, verbal, and written communication skills
  • Demonstrates ability remain productive during slower times
  • Effectively manage multiple tasks with frequent interruptions
  • Must have continuous self-motivation 

MUST be able to work a variety of hours Monday through Friday 8AM to 7PM and will be required to staff some weekend activities and events each semester (including summer sessions if applicable).

Preferred Work Hours
  • Monday: 8am-6pm
  • Tuesday: 8am-6pm
  • Wednesday: 8am-6pm
  • Thursday: 8am-6pm
  • Friday: 8am-Noon

Student Assistants will handle or view some material containing student/employee ID Numbers, student GPAs, and other related information not to be shared by the public and covered under the Family Educational Rights and Privacy Act (FERPA). The student Assistants will also have cash handling duties.
